Who is responsible for your information

Mere & Fern is the property selection brand presented by Scrace Real Estate. Scrace Real Estate is responsible for the personal information used in connection with enquiries made through this service. Our address is 27 Sutherland Avenue, London, United Kingdom; our VAT ID is GB 400474537.

You can raise a privacy question with us at [email protected] or +44 20 7036 5549. Our authorised representative is Dominic Ellwood. This notice explains how we approach information relating to property selection enquiries, our communications and the use of this website.

Information you choose to share

When you make an enquiry, the information may include your name, email address, optional telephone number, preferred dates, number of guests, destination preferences and the details you provide about your intended stay. You may also choose to describe a budget preference or practical requirements that affect the selection of a property.

Please provide only information needed for the property selection conversation. Do not include passport details, payment card information, medical records or personal information about other travellers without an appropriate reason and their knowledge. If an accessibility requirement is relevant, describing the practical feature you need is usually more useful than providing a diagnosis.

How information is used and the relevant grounds

We use enquiry information to understand the stay you have in mind, respond to your questions and take steps you request towards a potential property selection or rental arrangement. Where the processing is necessary for those requested steps before a contract, the relevant basis is the pre-contractual or contractual basis under UK data protection law.

Where appropriate, we may use limited information for legitimate interests such as managing correspondence, protecting the service and dealing with questions or disputes, after considering the impact on your rights. Processing required by applicable law relies on a legal obligation. Consent is used where it is required for optional cookies or a separate optional activity; an enquiry does not automatically subscribe you to promotional communications.

Sharing information for a clear purpose

Information may need to be handled by service providers that support communications, website operation or professional administration. They should receive only the information relevant to their work, under appropriate instructions and protections. We do not treat an enquiry as permission to disclose your full personal details to unrelated businesses.

Where a property owner or rental provider needs information to answer a question or progress arrangements you request, we will explain the relevant involvement and limit the information to what is necessary. Information may also be disclosed where required by law or needed to establish or defend legal claims. Any restricted international transfer must have an applicable lawful mechanism and appropriate safeguards.

Retention and care of your information

We keep personal information for the period needed to respond to an enquiry, manage related arrangements and meet applicable legal requirements. Relevant factors include whether a conversation remains active, whether an agreement follows, record-keeping obligations and the reasonable need to address a complaint or legal claim. Information should not be kept indefinitely simply because it might be useful.

Appropriate safeguards are used in proportion to the information and the purpose for which it is handled. Access should be limited to people who need it for the relevant work. No communication method can remove every security risk, so please avoid sending unnecessary sensitive information and tell us if you believe an enquiry contains information that should be corrected or removed.

Your data protection rights

Subject to the relevant legal conditions, you may request access to your personal information, correction of inaccurate details, erasure, restriction of processing or transfer of information in a portable form. You may also object to processing based on legitimate interests and withdraw consent for processing that depends on it. Withdrawing consent does not invalidate processing already carried out lawfully.

Contact [email protected] with enough detail to identify your request. We may need proportionate information to confirm your identity before disclosing personal data. We respond in accordance with the applicable legal time limits and explain any lawful limitation. You can also raise a concern with the UK Information Commissioner’s Office at ico.org.uk.

Cookies and changes to this notice

The website remembers your cookie choice through a consent preference cookie. Optional analytics or marketing cookies require the appropriate permission before being used. The cookie policy explains the categories, the consent preference period and how to change your choice.

We may update this notice when the service or applicable requirements change. The date at the top identifies the current notice. If a change materially affects a specific activity involving your information, further information will be provided where required. This notice should be read alongside the terms of service.
